How long does onboarding take?
Most practices reach a steady working rhythm in about 6–8 weeks from kickoff. The timeline depends on system access, payer portal setup, volume, cleanup needs and how quickly questions can be resolved.
A typical onboarding path includes discovery, secure access setup, workflow mapping, payer and fee schedule review, parallel processing, KPI baseline setup and a structured handoff into ongoing service.
Do we have to change our practice software?
No. Dental Billing Community works inside your existing practice management system, clearinghouse and payer portals whenever possible. That helps preserve your front-desk workflow, clinical documentation process and reporting history.
If we see a configuration issue that is affecting claims, attachments, eligibility, AR or payment posting, we document it and recommend a practical fix instead of forcing a software change.
What do you need from us?
We start with the access and information needed to work accurately and protect your revenue cycle:
- Secure remote access to your practice management system, clearinghouse and payer portals
- Current fee schedules, PPO participation details and payer contracts when available
- Existing claim, AR, denial, adjustment and payment reports
- Your billing policies for write-offs, patient billing, payment plans and refunds
- A primary office contact for quick answers during the first several weeks
For dental-to-medical billing, we may also need clinical documentation, medical necessity notes, diagnosis information and payer-specific requirements. Codes and coverage rules should always be verified against current CDT, CPT, HCPCS, ICD-10-CM and payer policy.
What happens during the first month?
The first month is usually about stabilizing the workflow. We confirm how claims are created, what documentation is attached, how eligibility is checked, how rejections are worked, how payments are posted and where AR follow-up is falling behind.
We also establish your baseline KPIs so progress can be measured clearly. Common starting metrics include clean claim rate, rejection trends, denial categories, days in AR, aging by payer, unapplied payments and patient balance workflow.
HIPAA and data protection
Will you sign a Business Associate Agreement?
Yes. Dental Billing Community signs a HIPAA Business Associate Agreement before accessing protected health information. We treat billing, eligibility, AR, payment posting and dental-to-medical documentation as protected workflows that require appropriate safeguards.
How is access controlled?
Access is limited to the systems and functions needed for the agreed scope of work. We use individual named logins whenever the platform allows it, multi-factor authentication where supported, least-privilege access and prompt removal or revision of access when roles change.
We do not ask practices to share patient-identifiable information through unsecured channels. During onboarding, we confirm the approved communication path for PHI-related questions.
Do you use AI in billing work?
Dental Billing Community uses AI-assisted workflows to improve organization, consistency and speed, but AI output is reviewed by experienced billing team members. AI does not replace payer policy review, code verification, clinical documentation review or human judgment.
We do not promise automatic approvals or guaranteed collections. Accurate billing still depends on documentation, eligibility, payer rules, timely follow-up and practice participation.
Reporting and communication
How do we see results?
You receive clear KPI reporting and regular review conversations focused on what is changing, what needs attention and what the next actions are. Reporting may include claims submitted, rejections, denials, AR aging, payer follow-up, payment posting status, patient balances and other metrics tied to your scope.
Clients may also use verification and AR dashboards on this site so the team can track work without relying only on scattered emails or one-off spreadsheets.
Who do we contact day to day?
You have a named account lead plus a shared team inbox for urgent items and routine workflow questions. This gives your office one clear path for communication while still allowing the billing team to cover tasks, follow-ups and payer work without bottlenecks.
How is pricing structured?
Pricing depends on scope, volume, specialty needs and the condition of the current revenue cycle. Dental Billing Community may offer flat monthly, per-claim or percentage-of-collections models when appropriate.
We recommend the right structure after a free billing assessment so the proposal reflects your actual needs: insurance verification, clean claim submission, AR follow-up, denial management, payment posting, patient statements, credentialing, CDT coding, dental-to-medical billing, teledentistry billing or broader revenue cycle support.
Why choose Dental Billing Community?
Dental Billing Community is built specifically for dental practices, dental billing teams and DSOs. We support routine dental billing as well as dental-to-medical workflows involving CPT, HCPCS and ICD-10-CM coding when the documentation and payer policy support it.
Practices choose us when they want one revenue cycle partner for verification, claims, denials, AR, payment posting, patient statements, credentialing and reporting. Our workflows are AI-assisted, reviewed by experienced billers, backed by a HIPAA BAA and measured with transparent KPIs and dashboards.
The easiest next step is a free billing assessment. We review where revenue is slowing down, identify practical fixes and recommend a service model that fits your practice instead of pushing a one-size-fits-all plan.
